A Diners Club cardholder is a person of status and means. Every contact you have with him from the first hello to how the payment process is handled is an opportunity to build your business and improve cardmember satisfaction.

Deciding to accept the Diners Club card is one step towards a successful business. There are two options of payment services available to choose from depending on the size and the volume of your business
     1. Verifone 460/420 machines with online authorizations
     2. Manual machines

1. VERIFONE 460/420 - Are terminals installed at your place of business, normally connected to a direct telephone line, which facilitates automatic transaction processing.

How does it work?

  1. You swipe the Diners Club card through the POS terminal
  2. Enter the transaction amount
  3. Your terminal automatically produces a print out with an auth code if the transaction is approved, or a separate message if declined (Please call us on 530188 if the transaction is declined)
  4. For approved transactions request the customer to sign the receipt , and return a copy of the receipt to him.
  5. At end of day you can generate a transaction report which reflects all transactions processed through the terminal, tally it and submit the batch to your acquiring bank.
  6. Payments for the approved transactions will be credited to your merchant account maintained at your acquiring bank  on the next working day itself. If you choose payment by cheque you will need to wait till the following Monday.

2. MANUAL MACHINES - Are machines provided to you facilitating manual imprints of the card, where authorizations for processing transactions are obtained manually.

How does it work?

  1. You obtain the customers Diners Club card.
  2. Call your authorisation center from the listed phone number; and provide information about the card as requested by the authorization staff.
  3. You will receive an approval or a decline. (Advise customer if it's a decline and request payment by a different mode. If customers insists to know the decline,  request him to contact his bank)
  4. Prepare a manual imprint of the card with the machine, and fill up the appropriate details
  5. Obtain the cardmembers signature, verify it and provide him a copy of the imprint.
  6. Submit one copy of the imprint to your acquiring bank  the next working day.
  7. You will receive payments to your account on the third working day or by cheque the following Monday.

PREVENTING FRAUD - FOR YOUR OWN SAFETY AND THAT OF THE CARDMEMBERS

One of the main causes of fraud losses is unauthorised use of a lost or stolen card. Fraudulent activity normally occurs within hours of the loss or theft - before most victims have called to report the loss.

The Diners Club card incorporates a number of security features to make it more difficult for criminals to counterfeit the card. These include the new design, hologram on the back of the card, a tamper resistant signature panel and a unique character embossed on the lower right corner of the card.

The following three steps, of examining the card features of Diners Club cards will help protect you against card fraud.

  • Step 1 Inspect the Embossing
  • Step 2 Examine the Hologram
  • Step 3 Check the Signature Panel


What to Do If you Suspect Fraud

  • Call your authorisation center and say "Code 10."
  • Don't put yourself in any danger. Never directly challenge the card user or physically confront anyone you suspect is using a stolen card.
  • Answer the operators questions and follow his instructions

Operating Guide for verifone 460/420

PROCESSING TRANSACTIONS

  1. Swipe the Diners Club card through the POS terminal
  2. Enter the Amount: Check the amount displayed, if correct press ENTER. If incorrect CLEAR the amount and re-enter the correct one. (Use backspace to delete the last digit entered) Terminal will display the following messages :-
    * Waiting for Answer
    * Receiving
    * Transmitting
    * Authorisation Code = 123456
  3. Terminal will automatically get an auth code if the transaction is approved, and produce a print out. If transaction is declined, the terminal will print a receipt with one of the following four messages
    o Not authorized
    o Referral A
    o Referral B
    o No Reply

    Should this happen the merchant should ask for another form of payment or call on 530188 for assistance. If the terminal is unable to read the magnetic stripe , the message displayed will be 'PLS TRY AGAIN' . Make sure the card is placed the right way and try again. If it still does not work call authorizations on 530188 and obtain authorizations.

  4. Tear off the receipt and ask the Cardholder to sign. Verify the signature with card.
  5. Give second copy to the cardmember and keep the original receipt in your records

PRINTING DUPLICATE RECEIPTS
If you require a duplicate copy of the last receipt
1. Press 'FUNCTION KEY'
2. Key in 4

VOID OR CANCEL TRANSACTIONS
If you make a mistake during the transaction, or if the customer changes his mind, the transaction can be cancelled by pressing the 'CLEAR' Key. The clear key can be pressed anytime prior to the 'WAITING FOR MESSAGE' is displayed on screen.
If transaction is complete, you can still cancel the transaction by :-
1. Pressing 'ENTER' key.
2. Key in 1 and press 'ENTER' key twice
3. Swipe the card
4. Enter the incorrect amount
5. Press Enter
Pls note that only the last transaction can be cancelled

GENERATING A TRANSACTION REPORT

Please note that before settlement is done the following steps are taken
a. Total all sales slips and credit vouchers.
b. If out of balance compare the sales slip and vouchers to individual entries in the POS terminal

BATCH TRANSMISSION
1. Press key 9
2. Press 'ENTER' key twice
3. Key in 1 and ENTER

GETTING PAYMENTS
Credits to Accounts maintained at your acquiring bank will be done the next working day. While merchants who have opted for cheque payments will receive their cheques the following Monday.

Operating Guide for MANUAL MACHINES

  1. Obtain the customers Diners Club card.
  2. Call your authorisation center from the listed phone number; and provide information about the Cardholder's card as requested by the authorization staff.
  3. You will receive one of the following four responses.                                                                                                  
    APPROVED Always write the six digits authorisation code provided by the staff clearly in the appropriate space on the sales draft.

    DECLINED Don't process the transaction. Quietly inform the Cardholder that
    the transaction has been declined and return the card to the
    Cardholder. If the Cardholder requests an explanation, refer
    him/her to the issuing bank's phone number on the back of the
    card.

    PICK UP Try to retain the card by reasonable and peaceful means. (You
    may be entitled to a reward.) Never put yourself in danger.

    CALLING Follow the authorisation centre operator's instructions, and let
    ISSUER The Cardholder know that the delay is to protect him/her against
    fraud.
  4. Take an imprint of the card
    1. Drag the Imprinter handle to the extreme left, place the Cardholder's card face up in the appropriate space provided above the merchant plate.
    2. Place sales draft face up, in the Imprinter over the Card. (Ensure that the each sales draft consists of 4 pages.)
    3. Pull the handle from left to right to imprint the Card embossed details. Return the handle to the extreme left to record the merchant plate.
    4. Ensure the information contained on all copies is legible. If the information is illegible, process a new sales draft.
  5. Complete the sales draft: 
  1. Fill in the required details clearly in the appropriate space on the sales draft.
  2. Have the Cardholder sign the sales draft.
  3. Compare the Cardholder's signature to the signature on the back of the card.
  4. If the signatures agree, return the card together with the Cardholder's copy of the sales draft to the Cardholder.
  5. Retain a copy of the sales draft for your records and for protection against any possible disputes.
  6. Deposit the Bank copy according to deposit procedures.

 

CARD FEATURES THAT HELP YOU DISTINGUISH A VALID DINERS CLUB CARD ARE:

1. Embossing

  • The embossed account numbers on a Diners Club card should begin with a "3" and have 14 digits.
  • The entire account number should be aligned and of the same size, height, and style. Embossed numbers and characters should not have been altered or reembossed. Look for "ghost images" of other numbers behind the embossing on either the front or the back of the card.
  • The "valid from" and "expiration" dates should not have been altered to add time to the card.
  • Diners Club cards may have a unique embossed security character which is positioned on the same baseline as the other embossed characters.

2. Hologram

  • The holograms should be clear, three-dimensional images that appear to move when the card is tilted.
  • A unique hologram incorporating the world map used on the front of the cards and the Diners Club logo or symbol must appear on the back of all Diners Club cards.

3. Signature Panel

  • The signature panel should be printed with a repetitive, horizontal pattern of the "Diners Club International Logo," be smooth to the touch, and show no evidence of tampering.
  • The signature, in ink, must reasonably match the one on your sales draft.
  • A 14-digit Diners Club card account number (matching the one embossed on the card front) may be indent-printed in reverse on the tamper-evident signature panel. The account number may be followed by a three-digit indent printed code.
